Note: While VESLOG operates in a remote-first model, this position requires occasional on-site collaboration at our Poznań office (typically 1–2 days per week).
Role & responsibilities
- Supporting daily office operations (translations, correspondence management, and document workflow control)
- Ensuring on-site office presence in Poznań for 1–2 days per week to support office operations, including correspondence handling, document or shipment circulation
- Working directly with Office Managers in Poland and Germany
- Providing administrative support, including office and IT equipment administration, and issuing accounting invoices
- Assisting with business travel arrangements and expense settlement
- Supporting communication with clients and preparing business and sales documentation in Polish, English, and German
- Participating in ad hoc company promotional activities, including support in organizing internal events and marketing initiatives
- Providing ad hoc support in recruitment processes, including scheduling interviews and sourcing candidates, when needed
What is expected of you
- Previous experience in office environments or in administrative and financial roles, preferably within international organizations
- Fluent English and German (minimum C1 business level, written and spoken)
- University degree in a relevant field or language studies (English, German)
- Very good command of MS Office tools, especially Excel, PowerPoint, and Word
- Practical experience and understanding of invoice issuance and invoice processing
- Exceptional attention to detail, accuracy, and reliability
- Strong understanding of operational processes and the ability to stay engaged with recurring tasks
- High level of independence and excellent work organization skills
- Strong teamwork skills, including experience working in international teams
Nice to have
- Proficiency in other business-level languages would be advantageous
- Knowledge of the IT industry will be considered an asset
