PMO Assistant

*Location: Remote-first | Poznań office presence required (several times per month)

Note: While VESLOG operates in a remote-first model, this position requires occasional on-site collaboration at our Poznań office (typically a couple of days per month).

• Supporting SAP project teams in day-to-day activities, including meeting coordination, follow-ups, and task tracking
• Ensuring occasional on-site presence at the Poznań office, as needed (e.g., several times per month), to support project management operations
• Assisting in the preparation and maintenance of project documentation and reports
• Helping to monitor project timelines, milestones, and deliverables, ensuring updates are properly logged and shared
• Collaborating cross-functionally with project and department teams to support resource planning, availability tracking, and capacity monitoring
• Collaborating on the preparation and review of RFP documentation as part of project processes
• Supporting communication between project stakeholders and maintaining documentation repositories
• Assisting in tracking risks, issues, and changes throughout the project lifecycle
• Providing administrative support to the PMO and contributing to process improvements
• Ensuring consistency and quality in project reporting and documentation standards
• Supporting regular project status reviews, ensuring alignment of progress updates across initiatives
• Tracking and analyzing project resource allocation and utilization to identify capacity gaps or optimization opportunities
• Consolidating and validating project data from multiple sources to support accurate reporting and portfolio insights

• 1–4 years of experience in a PMO, project management, or resource management environment, preferably within a technology-driven organization
• Solid understanding of project management principles and the project lifecycle
• Strong proficiency in Microsoft Excel (pivot tables, XLOOKUP, advanced formulas) and good working knowledge of other Microsoft Tools (e.g., PowerPoint, Word, and Outlook)
• Familiarity with project management tools such as Jira, MS Project, or Azure DevOps
• Proven ability to prepare clear and insightful project reports and presentations for management and stakeholders
• Excellent command of Polish and English (C1 level), both written and spoken
• Strong organizational and time management skills, with high attention to detail and accuracy
• Proactive mindset, willingness to learn, and ability to work effectively both independently and within a team
• Excellent communication and interpersonal skills, with the ability to collaborate across diverse teams and levels of the organization
• Strong analytical and problem-solving abilities, enabling data-driven insights and recommendations
• High level of accountability and ownership, with a focus on delivering results and continuous improvement
• Flexibility and openness to working in an international, culturally diverse environment

• Professional certifications such as SAP Activate, PRINCE2 Foundation, PMP, P3O, or AgilePM would be a strong asset
• Previous working experience with SAP or other ERP systems would also be an asset
• Proficiency in German at a business level would be an advantage
